Manage Swiss real estate – step by step
From master data to the finished utility, heating or condominium statement: this documentation guides you in four parts through the whole platform – in the right order, with examples and tips. See how easy it is – without even an account.
Set up
Set up once – then the tools fill themselves automatically.
1Getting started
Quick start in 6 steps
The recommended order so all tools work together meaningfully right away. Each step builds on the previous one.
Read the chapter →Mandates: who you manage for
A mandate is a client of your management company — a firm, a couple, a condominium owners' association. Its properties belong to it, and it has its own accounting: its own chart of accounts, balance sheet and closing. If you only manage your own property there is exactly one — you never need to think about it.
Read the chapter →Assistants: step by step instead of a form
For the paths you do not walk every day there are assistants. They ask only what is needed and say at each step what it is for. All of them sit on the left in the menu group Assistants, which is open by default.
Read the chapter →Private owners: working without mandates
If you manage your own buildings and have no clients, you do not need the word “mandate”. With the account type private owner it disappears from the menu and the setup.
Read the chapter →How to use the platform
Every thing works the same way — a flat like an account or a document. Learn it once and it applies everywhere.
Read the chapter →How everything fits together
Swiss Immo Tools revolves around your properties. What you enter there once, all tools reuse automatically.
Read the chapter →2Set up the basics
Account & account type
On your first login you choose whether you work privately or as a management company/business. This controls, among other things, the property limit.
Read the chapter →Master data (company, IBAN, logo)
Your company/sender details. They are pre-filled everywhere – e.g. as payee in the QR invoice or sender on statements.
Read the chapter →People & roles
A person is recorded once and then linked to objects — as tenant, owner, management or tradesman. That link is called a role, and it carries the dates, the settlement and the collection.
Read the chapter →Properties & units
Create your properties and enter the units. This data is the basis for the rent roll, statements and reporting.
Read the chapter →Allocation keys
Allocation keys define by which measure costs are distributed among the units (e.g. by area, value quota, persons or consumption). They are available for selection in the utility, heating and condominium statements.
Read the chapter →Day-to-day
Ongoing bookings, rents and invoices.
3Accounting
Record bookings
Property accounting is double-entry accounting with a Swiss chart of accounts. Every booking has a debit and a credit account.
Read the chapter →Collective & split bookings
Split one payment across several accounts (e.g. an invoice with several positions or different VAT rates).
Read the chapter →AI receipt capture
Upload a photo or PDF of a receipt – the AI reads amount, date and supplier and suggests the booking.
Read the chapter →Moving over from your previous software
Already running a client in another program? Its account statement is imported: accounts, entries, owners, tenants and incoming payments. Whatever Swiss-Immo can produce itself is deliberately NOT imported — otherwise it would appear twice.
Read the chapter →Bank import & AI account assignment
Import the bank statement (CAMT/CSV) – the AI assigns each line to the appropriate account.
Read the chapter →4Rents, collection & invoices
Rent roll
Overview of all tenancies of a property with net rent, service charges and gross rent.
Read the chapter →Rent collection journal
Charge rents due per tenant over the year, record incoming payments and track open items.
Read the chapter →QR invoice (Swiss QR-bill)
Generate valid Swiss QR payment slips with your QR-IBAN.
Read the chapter →Rent adjustment
Adjust the rent in a legally compliant way on a reference-rate change, inflation or an indexed/stepped rent.
Read the chapter →List & market
Publish vacant objects as a public listing in one click – including AI description in DE/FR/IT/EN. Applications come back structured into the people file.
Read the chapter →Settle & analyse
Close periods and keep the overview.
5Statements
Utility cost statement
Distribute the operating costs of a rental property across the units on a period basis and settle advance-payment balances.
Read the chapter →Heating cost statement (VEWA)
Distribute heating and hot-water costs by consumption: base costs by area or volume, consumption costs by metering.
Read the chapter →Condominium statement
Distribute the common costs of a condominium owners' association by value quota (or another key), incl. renovation fund and advance instalments.
Read the chapter →Renovation fund
Plan a condominium's renovation fund and maintain the balance per owner by value quota.
Read the chapter →6Analysis & portals
Reporting & Controlling
Key figures across all properties: income, expenses, cash flow, budget-vs-actual, vacancy and open items (receivables).
Read the chapter →Property cockpit
A property's detail page bundles units, key figures, documents and matching tools in one place.
Read the chapter →Owner/tenant portal
Give owners or tenants secure read access to selected documents and key figures.
Read the chapter →Practice: end-to-end
Complete workflows step by step – from start to finish.

Read the chapter →Scenario: handle a tenant change cleanly
