A person is recorded once and then linked to objects — as tenant, owner, management or tradesman. That link is called a role, and it carries the dates, the settlement and the collection.
- •Record once, use many times. The same person can appear in several properties and in several functions. The register holds them once; the roles show everywhere they appear.
- •The role carries the dates. How long someone was the tenant of a flat decides the occupancy days in the service-charge settlement and the amount due in collection. The end date therefore belongs on the role, not in a note.
- •End it, do not delete it. A tenancy is closed with “end (set end date)” and stays visible — past settlements rely on it. Being able to delete it would mean altering a closed settlement after the fact.
- •A typo is not a tenancy. If the wrong person or the wrong flat was entered, choose “entered by mistake (archive)”: the entry drops out of every report, stays visibly marked, and can be restored.
